Terms of Service

The short version. These terms are the agreement between you and Reconifier for using our service. Reconifier is a tool that helps you reconcile receipts and transactions — it is not a substitute for professional accounting or tax advice, and you are responsible for checking the results. Please read the full terms below; the important limits on our liability are in sections 10 and 11.

1. Agreement to these terms

These Terms of Service (“Terms”) govern your access to and use of Reconifier, operated by Accounts AI Limited, a company registered in England & Wales (company number 15207806), registered office 25 Highfield Road, Selby, England, YO8 4FH. By creating an account or using the service, you agree to these Terms. If you do not agree, do not use Reconifier. If you use Reconifier on behalf of a business, you confirm you have authority to bind that business to these Terms.

2. The service

Reconifier provides tools to import financial transactions, ingest receipts and invoices (including, where you connect a mailbox, from your email), and reconcile them. Features available to you depend on your plan. We may improve, change or add features over time.

3. Eligibility and your account

  • You must be at least 18 and able to enter into a contract.
  • You are responsible for the information you provide, for keeping your login credentials secure, and for all activity under your account.
  • Should you suspect any unauthorised use of your account, tell us promptly at support@accountsai.co.uk.

4. Plans, billing and refunds

  • Plans. Reconifier offers free and paid subscription plans. The features and price of each plan are shown on our pricing page.
  • Payment. Paid plans are billed in advance through our payment provider, Stripe. By subscribing you authorise recurring charges until you cancel.
  • Renewals. Subscriptions renew automatically for the same period unless you cancel before the renewal date.
  • Cancellation. You can cancel at any time; your plan remains active until the end of the paid period, after which it will not renew.
  • Refunds. Except where required by law, payments are non-refundable and we do not provide refunds or credits for partial periods.
  • Price and tax. We may change prices on reasonable notice, effective from your next renewal. Prices are exclusive of VAT unless stated; you are responsible for any applicable taxes.

5. Acceptable use

You agree not to: use Reconifier unlawfully or to break any regulation; upload content you do not have the right to use; attempt to access accounts or data that are not yours; probe, scan or breach our security; disrupt or overload the service; reverse-engineer or copy the service except as the law allows; or resell the service without our permission.

6. Connected accounts

If you connect a Google or Microsoft account, you authorise Reconifier to access it as described in our Privacy Policy, on a read-only basis, solely to provide the service. You confirm you have the right to connect that account and to let us process its contents. You can disconnect at any time.

7. Your data and intellectual property

Your content. You keep all rights in the data, receipts and documents you provide (“Your Content”). You grant us a limited licence to host, process and use Your Content only to provide and improve the service for you and as described in our Privacy Policy.

Our property. Reconifier, including its software, design, branding and content, belongs to us and our licensors. These Terms do not give you any rights in it except the right to use the service in line with these Terms.

Feedback. If you send us suggestions, we may use them freely without obligation to you.

8. Third-party services

Reconifier relies on and integrates with third-party services (such as Google, Microsoft, Stripe and AWS). Your use of those services may also be governed by their own terms, and we are not responsible for them.

9. No professional advice

Reconifier is a software tool. It does not provide accounting, tax, legal or financial advice, and its output is not a substitute for professional advice or for your own review. You are responsible for verifying the accuracy of reconciliations and for your own bookkeeping, tax and regulatory obligations. Always check important figures and consult a qualified professional where needed.

10. Availability and warranties

We work hard to keep Reconifier available and accurate, but the service is provided “as is” and “as available”. To the fullest extent permitted by law, we disclaim all implied warranties, and we do not warrant that the service will be uninterrupted, error-free, or that the results (including extracted or reconciled data) will be complete or accurate. We may perform maintenance or suspend the service where reasonably necessary.

11. Limitation of liability

Nothing in these Terms limits liability that cannot be limited by law (such as for death or personal injury caused by negligence, or for fraud). Subject to that:

  • We are not liable for indirect or consequential loss, loss of profits, revenue, data, goodwill, or losses arising from errors in extracted or reconciled data that you did not verify.
  • Our total liability to you for all claims in any 12-month period is limited to the greater of the amount you paid us for the service in that period, or £100.

12. Indemnity

You agree to indemnify us against claims, losses and costs arising from your breach of these Terms, your misuse of the service, or Your Content infringing someone else’s rights.

13. Suspension and termination

You may stop using Reconifier and close your account at any time. We may suspend or terminate your access if you breach these Terms, fail to pay, or where necessary to protect the service or comply with the law. On termination, your right to use the service ends; sections that by their nature should survive (such as 7, 9, 10, 11 and 12) will continue.

14. Changes to these terms

We may update these Terms from time to time. If we make material changes, we will give you reasonable notice by email or in the app. Continuing to use Reconifier after changes take effect means you accept the updated Terms.

15. Governing law

These Terms and any dispute arising from them are governed by the law of England & Wales, and the courts of England & Wales have exclusive jurisdiction.
